Spotlight: Streamlined Invoicing & Case Management Tools
00:00:00:21 - 00:00:26:05
Hi everyone. My name is Tim from SwiftFox and today I'm going to be talking to you about case management. SwiftFox lets you create a case that mentions a person or organisations, and lets you link all of the documentation, the notes, the files, the tasks, the interactions all in one place. So let's dive in. So I've got this person's profile open in SwiftFox.
00:00:26:05 - 00:00:50:05
And the first thing I'm going to do is click on the new Cases tab. The cases tab shows me every case that mentions this particular person, whether it be a new, in-progress, or closed case. Then we're going to create a new case that mentions this particular person with this button. I can give the case a name. I can set some tags.
00:00:50:09 - 00:01:14:16
I can give the case a description. And then because this case was created from this person's profile, they're automatically tagged in the Related to field. However, I can add any other people or organisations that this case relates to here. I can edit the date if the case wasn't raised today as well. I can set the status on this new case.
00:01:14:20 - 00:01:35:43
I can then upload as many documents as I need to that are related to this particular case by clicking here. Let's go ahead and create this case. Now let's take a look at some of the things that we can have linked to a case. For example every interaction that we have to progress this case can be linked to it as a post.
00:01:35:47 - 00:02:02:16
Let's go ahead and create a new post on this case like so. We can also have lots of tasks linked to a case. For example, these might be tasks for an individual or for a team that they need to action so that we can get this case closed. We can also have internal comment threads. For example, I might need some guidance from a colleague so that we can get this case progressed.
00:02:02:20 - 00:02:29:11
By default cases in Swift Fox will be able to be accessed by any user in your organisation. However, you can change this. When we change the user access settings on a case. So Fox will automatically apply these same settings to any new post that is created against the case, so that you don't need to remember to update these settings for every interaction that you'd like to store.
00:02:29:15 - 00:02:58:13
Let's go to Case Management on the left hand side menu. Here we can quickly see all cases that has a user we've got permission to see and I can easily search, filter and sort these cases to find the ones that I'm looking to dive into. We also have these folders on the left hand side so that I can easily see all closed, open, and those that are in progress.
