When looking for a CRM, many of our clients have considered Wild Apricot, as it is one of the main players in the market. Both SwiftFox and Wild Apricot are cloud-based SaaS CRM Membership platforms that enable you to undertake a range of actions with the data stored in them. As a newer player in the market, SwiftFox comes with a different philosophy to Wild Apricot, which is the start of where differences emerge.

Comparing Features

With SwiftFox when you get started you won't need a third party ‘Implementation Partner' to get you set up – the SwiftFox team handle everything.

As part of our commitment to ensuring your success with SwiftFox, we recognise the importance of a hands-on onboarding process. We work closely with our clients during the initial stages of onboarding, collaborating with new clients to import data, configure customisations, and establish new user accounts and appropriate permissions.

Once the platform environment has been set-up and configured, our team will work closely with you to provide a comprehensive overview of the system & train your team. Any webinars or training sessions can be recorded and made available to your team for future reference.

Wild Apricot set-up process has been described by some users as difficult. There is a set-up checklist available to use, however some users found it contained limited information to help them conduct their initial set up.

SwiftFox hosts client data in secure data centres in Australia through Microsoft Azure, providing our clients with data sovereignty, safety, security and scalability. The SwiftFox team also operates under Australia’s only industry-legislated privacy code and is a member of the Australian Data and Insights Association (ADIA).

Wild Apricot uses the Amazon S3 datastore to store all its subscribers’ data. While there is no exact location specified for this particular data store, it is unclear where a user’s data would be stored in terms of a geographic location. There is also no information stating whether a user has flexibility over where their data would be stored.

SwiftFox features a beautifully simple user experience. Uncomplicated design is powerful. You, your boss, your intern, the new hire - everyone in your organisation should know how to use, and love using SwiftFox. And you should be able to work out how to use a feature with a few clicks. SwiftFox was built from the ground up in the social media age and our future focussed design principles make it simple to navigate. As a universal CRM, once you understand how to navigate one feature – you can navigate them all!

Wild Apricot has a relatively easy interface when compared to that of other CRMs on the market. However, some users have described some of its membership features as not as advanced as users may require. Wild Apricot also has a storage limit of 2GB which is applicable to all plans.

SwiftFox has everything you need in one platform. This is what makes it so powerful. So marvellously simple to use. You can send emails, newsletters, coordinate events, create forms, manage your pipeline, send text messages, have phone calls, tick off your tasks, talk to your team - all from one place, and with one subscription.  

Following initial set-up, organisations license SwiftFox on a subscription basis and our central development team take care of ensuring your platform is always updated and at the cutting edge of innovation.  

Wild Apricot’s platform has a range of different tools all in one place, from sending emails to managing events. Users have reported limited customisability and flexibility when it comes to certain aspects of the platform, with some more complex customisation options not particularly user friendly, requiring the assistance of their support team to set up.

Users must monitor the number of contacts that they have as Wild Apricot will not automatically upgrade or downgrade a user’s plan if it no longer supports their organisation’s needs.

SwiftFox is developed by The Red Fox Group, an Australian based data analytics company, and AI and analytics is in our DNA. AI can seem daunting, most users know it is a big deal, but can be confused as to how it can help. Our AI tools are powerful, yet deliberately simple. Help drafting an email and sending it when your users will open it. Providing real-time information of who is likely to renew or leave your organisation, who will donate, who will buy.  

Wild Apricot’s software currently lacks the availability of an in built or optional AI tool, however this may be on its roadmap.

SwiftFox takes care of everything. As a SaaS platform, our team has a long-term development pipeline where we are continuously rolling out new features accessed by all our users. Clients can always submit suggestions for the product roadmap.  

Wild Apricot does have regular bug fixes and updates where new features can be introduced and added to their current capabilities. These are available on their website, and users must visit their support website to see the additions that have been made in recent updates.

SwiftFox has all the help you would expect from the big platforms – help guides, in-platform training, videos, live webinars, email updates. But we are also local, and we have a phone! IF you ever get stuck, you can speak to one of our team who can jump straight on a video call and help you out.

Wild Apricot offers limited support to its users. While there is the option of contacting support teams either via email or chat, there is no immediate support available to users.

Pricing

At SwiftFox, we believe in organisation wide access, so when you sign-on, everyone in your organisation has a SwiftFox account created. Wild Apricots typically uses a version of cost per-user pricing. Our philosophy is that by creating organisation wide access, you are improving data security, and the outcome of your CRM. If everyone is working across platforms, you lose 360 data intelligence and increase the risk of team members sharing sensitive data.  

Per user charging while it can appear affordable, often becomes expensive as you grow or add features or additional data capacity.  

Wild Apricot offers a subscription which is charged monthly (and paying in advance for a full year or two will attract a slightly lower monthly fee). The subscription is based on the number of contacts that an organisation wishes store. In addition, the website is based in Canada, resulting in the payment of the subscription having to be transferred to Australian Dollars, because of which some users have incurred additional fees.
