Today we're exploring the SwiftFox data importer, and in this tutorial we will be specifically focusing on how you import new contacts into SwiftFox, whether it's 100 or 1000. Our session will cover uploading your spreadsheet, matching your spreadsheet to SwiftFox Fields, and reviewing your import. So let's get started. From your home page, click the plus icon.

Here you can add people, organisations, or import data. Click import data. If you do not have the option to import data, you will need to speak to a SwiftFox administrator in your team. First up, we need to select the type of contacts we will be importing into SwiftFox. Specifically, whether you are importing both people and their organisations or just organisations.

If you are just importing people, still click the first option. Now it's time to upload your data. To do this, your data will need to be in spreadsheet format, specifically a CSV file. CSVs are easily created through Microsoft Excel, and you can also check out our other Academy video walking through this. Make sure you read through our guidelines for how to structure your data in your spreadsheet.

Adhering to these guidelines will make the process much smoother and your data much cleaner. Once you have your CSV all looking smart, upload it and click next. Now it's time to make sure your data ends up in the right place in SwiftFox. We call this matching columns. Essentially, we need to make sure the columns of your data in your spreadsheet match up to the right places in SwiftFox before the import to get started.

Select the sheet in your uploaded spreadsheet you would like to import. You were only able to import one sheet at a time. Next, you can select the matching option. This tells the importer how to determine if any of your contacts already exist in SwiftFox. When you click the dropdown, you can see a list of match options. Let's take the first option as an example.

Here you are saying if anyone in your spreadsheet has the same first name, last name, and any other contact details as an existing contact in SwiftFox. We will assume they are the same person. Take some time to explore this dropdown, as it is a powerful tool to prevent having duplicates appear in your data. There are a couple of additional import options you can consider.

Is the first row in your spreadsheet a header? Do you want us to skip some rows or limit the import to a certain number of rows? Once you have made your selections, we are ready for the all important column matching. Today we're going to create a new profile of how we want to map our columns. So we need to give it a name.

In the table on the left hand side, you can see the names of all of the columns in your spreadsheet. There is also an example of the data in your spreadsheet under the heading titled SwiftFox field. You will see a series of drop down menus. This is where the importer has attempted to predict what fields in SwiftFox we should import your data to.

For example, the first name column on the spreadsheet has been matched to the first name field in SwiftFox. If the drop down field is empty or the importer has incorrectly predicted the matching field, simply select a new field to match the data to the SwiftFox import. It is a really powerful tool and you can import not only people, organisations, and their contact details, but also any data you want to appear in custom fields.

Users you want to appear such as stakeholder leaders and also category types. Once you have matched all your spreadsheet columns to SwiftFox fields, then this becomes your new mapping profile. If you will be regularly importing similar spreadsheets, you can save this profile with the save mapping. So SwiftFox will save your selections, which you can use later on.

Now we're ready for the final stage of the import. So click next. Now we can review all the data ready to import and a status next to each contact. If the importer has identified a match, click on the field and a draw will pop out showing you the contact we believe already exists. You can override this by selecting create as a new contact.

Now let's do the import. Simply click import. All done. Simple as that. And to complete the process you can see all the results of your import in our overview table. So now you know how to import data in SwiftFox. So get importing.
